Free Web Design & Hosting Invoice Template for South Africa

Web designers juggle once-off build fees and recurring hosting or retainer charges, so a clear invoice matters — especially when a client is paying a deposit before you start. This free template is made for South African web designers and agencies, with Rand amounts and optional 15% VAT.

List your design, development and hosting fees, then download a professional PDF to send on email or WhatsApp. Everything runs in your browser, so client details are never stored on our side.

Tip for web designers: Web designers should separate once-off build fees from recurring hosting and domain charges, and note the billing period for anything that repeats annually.

What must a web designer invoice include in South Africa?

Whether or not you are VAT-registered, a professional invoice for web design and hosting work should show the following. If you are a VAT vendor, SARS requires a full tax invoice for supplies over R5 000:

  • The word “Invoice” (or “Tax Invoice” if VAT-registered) shown clearly
  • Your business name, contact details and VAT number (if VAT-registered)
  • The customer’s name (and VAT number for invoices of R5 000 or more)
  • A unique, sequential invoice number and the date of issue
  • A description of the goods or services supplied
  • The price, the VAT charged (15%) and the total due

Common questions

Is this invoice template really free?

Yes — completely free, no sign-up and no watermark. Fill it in, download the PDF and send it to your customer. If you later want to send invoices via WhatsApp and track who has paid, you can create a free InvoiceSA account.

Is the invoice SARS-compliant?

It includes the fields SARS expects on a tax invoice: your business details, VAT number (if registered), an invoice number and date, a description of the work, and 15% VAT shown either added on top or extracted from VAT-inclusive prices.

How do I invoice for a website deposit?

Send a deposit invoice for the agreed percentage up front, then invoice the balance on delivery and reference the deposit already paid. This is the norm for web projects in South Africa.

How do I bill recurring hosting?

List hosting and the domain as their own line with the period ("Annual hosting — 2026/27"). A free InvoiceSA account can send these automatically each year so you never forget a renewal.
